I got a call back from the fair and explained this to them. I said we have a usage agreement and do not need security or staff during our meetings so it makes no sense to have it during the BBQ. Like you say we could just eat without their tables and chairs and save all the money. I told her to talk to Faye and look at the usage agreement. She said she would call me back tomorrow. I'll let you know what I hear.

Hold it inside, use our new good chairs, set up our tables and BBQ out the back door.   We have done that in the past for just hamburger before a regular meeting.  We got enough room inside for the pot luck stuff.  People could bring chairs and card tables, etc.
